Employee Data Management (HR Master Data)

SmartHR based on SAP HCM supports standardisation of employee master data across organisational units and geographic borders.   SAP uses one common database with employee master data that is accessed by all functional modules.  This increases the likelihood that employee master data is correct and thus serves as the foundation for all the SAP functionality in use.

All employee master data at the field level has associated valid date ranges.  This enables the continuous processing of inputs, as all changes to the master data are given valid from and to date ranges.   A future address change can thus be entered when known, but will only be used by the system from the applicable date.  Likewise, the address will no longer be used when the valid range has expired.

The list of available data fields in SAP is comprehensive and covers most needs,  even for complex organisations.

Access to data can be restricted using SAPs authorisation roles on a field level.

Through Employee and Manager Self Service (ESS/MSS), selected employee master data, such as current address, the name of children, bank account etc. can be updated by the employee via self service functionality.  

Forms-based processes using Adobe Interactive forms technology can be implemented to ensure effective processes for most employee life cycle events (e.g. hiring and termination processes).

These effective master data practices allow smartHR SAP HCM master data to be used as the core data hub.  All functionality can then be driven off of this, including valid date ranges and access authorisations.
